    Position Summary & Responsibilities:
    Job Duty Description:  This is structured administrative support work in the Human Resource Office. Work requires the operation of personal computers and other office equipment; requires communication and confidentiality.
     
    Performance Standards:  Enters time sheets weekly for security staff and assists in other time keeping, payroll, and benefits areas as needed.  Assumes responsibilities for time-keeping and payroll when the HRP I is absent.  Types, tracks and processes position descriptions and Employee reviews.  Monitors completion dates and issues reminder letters.  Types memorandums/letters and completes special projects as directed.  Inventories office supplies and forms and requisitions when low.  Keeps forms updated.  Tracks Hepatitis B and TB testing.  Prepares forms for TB testing, Hepatitis B and sends out reminders.   Answers telephone for Human Resources Office and non-automated calls coming into the facility.  Refers callers to appropriate staff as necessary.  Disperses information regarding routine state procedures for registration/hiring.  Hands out State of Kansas Employment Summaries and other application forms.  Copies and distributes employment opportunities appropriately.  Checks HR email daily for applications and sends out additional paperwork as needed.  Schedules interviews and prepares interview packets.  Organizes filing system.  Files all memos, circulars, letters and time sheets, etc.  The incumbent of this position has access to protected health information (PHI) under the provisions of the Health Information Portability and Accountability Act of 1996 (HIPPA) Privacy Rule.  PHI must be treated in accordance with the provisions of the HIPPA Privacy Regulation including the requirements for safeguarding, releasing and recording the release of information.  The incumbent has been trained in the provisions of the HIPPA Privacy regulations as they relate to the duties of this positon and has signed a confidentiality agreement.

    Preferred Requirements:  Knowledge of the operation of office equipment, personal computers and communications systems. Knowledge of rules, regulations, policies and procedures.  Knowledge of standard formats for letters, memos and reports.  Knowledge of record keeping, and reporting methods.  Ability to apply and explain rules, regulations, policies and procedures.  Ability to understand and follow verbal and written instructions.  Ability to use basic word processing, spreadsheet and database applications.  Ability to establish and maintain effective working relationships.  Ability to enter information in a variety of formats.  Ability to proofread and edit for grammar, spelling, syntax and style; compute, verify and compare figures; detect discrepancies in information or records.  Ability to record, file and transmit information.  Ability to communicate effectively both verbally and in writing.  Ability to extract data and formulate reasonable conclusions from a variety of sources.

    Minimum Qualifications
    Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
